Youngsoft Recruitment Assistance Solution: Enhancing Recruitment Efficiency with AI-Powered Resume Validation

The Youngsoft Recruitment Assistance Solution application is a cutting-edge tool designed to assist recruitment teams in efficiently validating candidate resumes. By leveraging artificial intelligence (AI), the application helps recruiters assess how well a candidate’s resume aligns with the job description (JD) for a particular opening. This tool enhances the recruitment process by automating the evaluation of resumes based on the competencies and skills required for the job.

AI-Powered Resume Analysis

The core functionality of the application is its ability to analyze the data provided in a job description and match it against the content of candidate resumes. The AI algorithm scans the JD to identify essential competencies, qualifications, skills, and experience that the ideal candidate should possess. It then evaluates resumes against these criteria to generate a comprehensive report that highlights the degree of match.

Automated Competency Mapping

The application systematically breaks down the job description into key competencies, including technical skills, soft skills, qualifications, experience, and certifications. These competencies form the baseline for evaluating resumes, ensuring that the recruitment team focuses on the most relevant criteria for each job opening.

Resume Scoring and Reporting

After comparing the resume with the JD, the application generates a detailed report showing how closely the candidate's qualifications match the requirements. Roles and Responsibilities

[1] Admin Analyst

Admin have the full access to the RAS application In terms of add, edit and delete. In case of any role absence, he can perform all the operations required for the RAS System. Admin will be able to assign and edit roles for the application users.

Firebase:

  • Using Firebase, Admin can assign the roles [Ex: Recruitment Manager, Recruiter Lead, Recruiter]
  • Using Firebase, Admin can edit and update the help icons content.

[2] Recruitment Manager/Team Lead - Recruitment

Recruitment Manager/Team Lead - Recruitment Primary responsibility is to check the resume evaluation reports and assist the team. In case of recruitment Lead absence, Recruitment Manager can perform the following:

  • Manage Job Description - Upload JD, View JD, Share JD, Search JD, Clone JD, Edit JD
  • Manage Resume - Upload Resume against JD and evaluation results
  • Download Resume Evaluation Report
  • User Management - Able to assign/edit the roles to the application users

[3] Recruitment Lead

Recruitment Lead Primary responsibility is to create the JD and share that with his Recruiters

Recruitment Lead can:

  • Manage Job Description - Upload JD, View JD, Share JD, Search JD, Clone JD, Edit JD
  • Manage Resume - Upload Resume against JD and evaluation results
  • Download the Resume Evaluation Report

Recruiter can

  • Manage Job Description - Upload JD, View JD, Share JD, Search JD, Clone JD, Edit JD
  • Manage Resume - Upload Resume against JD and evaluation results
  • Download the Resume Evaluation Report

Each field name is associated with an information icon that provides more details about the field. Simply hover your mouse over the icon to view additional information whenever you have a question.

Login

Please type https://ras.youngsoft.com/login in your web browser to open the YS Ras application log-in page.

You can log-in using your username and password, or with your Google ID (SSO).

As highlighted in the screenshot below, once you log in to the YS Ras application, you will see an option in the top right corner to view your profile details, as well as an option to log out from the application.

Menu Navigation

  • As highlighted in the screenshot, the application header contains a menu navigation that allows you to browse to the required section.
  • Some menu links also have sub-menus for easier access.
  • Each section will be highlighted with its respective section title

Dashboard

  • The dashboard of the YS RAS application displays important metrics related to the application, clients, and more, which are self-explanatory.

Manage JD

  • Login at, https://ras.youngsoft.com/login with valid login credentials
  • Navigate to the “Manage JD” menu navigation link at the header at top.
  • Manage JD (or Manage Job Description) is a section specific to Job Descriptions. It is further divided into two sub-sections:
    • View JD
    • Upload JD

View JD

  • Log in at https://ras.youngsoft.com/login with your valid credentials.
    • Step1: Click on 'Manage JD' in the top menu navigation to view the sub-menus: 'View JD' and 'Upload JD'.
    • Step2: Click on the 'View JD' sub-menu link to access the 'View JD' section.
    • Step3: The 'View JD' section displays the names of client accounts in the form of tiles, along with the number of JDs associated with each client account, as shown in the screenshot below.
    • Step4: Please click on one of the client account tiles to view the Hiring Manager and Account Manager titles on the next screen.
    • Step5: Click on either the Account Manager or Hiring Manager to view the JDs associated with that manager. View JD Screenshot
    • Step6: Upon clicking the Account Manager or Hiring Manager, the JDs associated with that manager will appear, as shown in the screenshot below.
    • Step7: Please click on the 'JD Info' icon, highlighted in the screenshot, on the JD record to view the details related to that particular JD. View JD Screenshot

JD Info

  • Upon clicking the 'JD Info' icon on the JD record, a popup will appear with three sub-tabs available, they are:
    • JD Info
    • View Resumes
    • Share JD

JD Info (Pop-up)

  • The 'JD Info' tab will display the details related to the Job Description, as shown in the screenshot below.

Edit/Save JD

  • Using the Edit button in the top right corner, the user can edit and update the details of the JD record.
  • The user can:
    • Extend the expiry date
    • Edit the JD title
    • Update the required or desired score for each qualification and sub-qualification
  • The user can save the JD after updating the details.

View Resumes

  • Upon clicking the 'JD Info' icon on the job description record in the 'View JD' section under the 'Manage JD' menu navigation, a screen will appear with three available sub-tabs:
    • JD Info
    • View Resumes
    • Share JD

View Resumes:

  • The 'View Resumes' tab will display the resumes uploaded for that JD.

Search Resumes

  • Resumes in the grid can be filtered using the search filters available at the top right corner, above the 'View Resumes' grid, based on criteria such as status, title, date range, etc.

View & Download Resume Evaluation Report

    • The Uploaded Resume Records in the "View Resumes" tab will have the options to view the resume evaluation report, as well as the option to download the report as shown in the screenshot below. View Resumes Options Screenshot
    • Upon clicking 'View Resume Evaluation Report' Icon, a screen will open displaying the AI-generated resume evaluation details, as shown in the screenshot below AI Evaluation Report Screenshot
    • Upon clicking the 'Download Resume Evaluation Report' Icon, a report in PDF format will be downloaded to your local machine for further circulation.

Share JD

  • Upon clicking the 'JD Info' icon on the job description record in the 'View JD' section under the 'Manage JD' menu navigation, a screen will appear with three available sub-tabs:
    • JD Info
    • View Resumes
    • Share JD

    Share JD:

    • Using the 'Share JD' section, the Recruiter Lead can share the JD with recruiters.
    • Once the JD is shared, recruiters can view the JD and upload resumes to it, but only if the JD is in an 'Open' state.

Clone JD

  • Log in at https://ras.youngsoft.com/login with your valid credentials.
  • Click on 'Manage JD' in the top menu navigation to view the sub-menus: 'View JD' and 'Upload JD'.
  • Click on the 'View JD' sub-menu link to access the 'View JD' section.
  • The 'View JD' section displays the names of client accounts in the form of tiles, along with the number of JDs associated with each client account.
  • Click on one of the client account tiles to view the Hiring Manager and Account Manager titles on the next screen.
  • Click on either the Account Manager or Hiring Manager to view the JD records associated with that manager.
  • The 'Clone JD' option will be available for JD records in the 'Closed' status. JD records in the 'Open' status will not have the 'Clone JD' option.

  • Once you click on the 'Clone JD' icon for a closed JD record, a screen will open where a clone of that JD record is created with the same details. The user will have the option to rename the newly created JD record, and the date of expiry for the new JD record will be displayed, as shown below.

  • Upon entering the JD title and expiry date, a new 'Clone JD' will be created with the provided title and expiry date. All other details will be cloned from the original JD record, as shown below.

Upload Resume

Every JD record that is in Open status will have an option to upload a resume directly on the JD record. This will redirect the user to the 'Upload Resume' section to upload the resume and evaluate the results. The 'Upload Resume' option will disappear if the JD is in Closed status.

Search JD

  • Log in at https://ras.youngsoft.com/login with your valid credentials.
  • Click on 'Manage JD' in the top menu navigation to view the sub-menus: 'View JD' and 'Upload JD'.
  • Click on the 'View JD' sub-menu link to access the 'View JD' section.
  • The 'View JD' section displays the names of client accounts in the form of tiles, along with the number of JDs associated with each client account.
  • Click on one of the client account tiles to view the Hiring Manager and Account Manager titles on the next screen.
  • Click on either the Account Manager or Hiring Manager to view the JD records associated with that manager.
  • At the top right corner of the JD record grid, as shown in the screenshot below, there is a search filter available for users to filter records based on the desired criteria.

Upload JD

  • Log in at https://ras.youngsoft.com/login with your valid credentials.
  • Click on 'Manage JD' in the top menu navigation to view the sub-menus: 'View JD' and 'Upload JD'.
  • Click on the 'Upload JD' sub-menu link to access the 'Upload JD' web form.
  • Uploading a JD involves three steps:
    • Step 1: Upload JD
    • Step 2: Competency Score
    • Step 3: JD Submit

Step-1: Upload JD:

  • The Job Description can be uploaded to the client account or 'Self' (Youngsoft Inc.).
  • Fill in the details requested in the web form. Hover over the info icons beside each field to view additional information related to that field while entering the values.
  • If the self/client account has a Hiring Manager, enter the Hiring Manager's details. If not, check the box that says 'Do not have the Hiring Manager for this JD' and proceed to enter the Account Manager's details.
  • If the self/client account has an Account Manager, enter the Account Manager's details. If not, check the box that says 'Do not have the Account Manager for this JD' and proceed to enter the Hiring Manager's details.
  • If the JD has both Hiring and Account Manager details, enter both sets of details.
  • Either the Hiring Manager or Account Manager details are mandatory to fill in while uploading the JD. You must enter at least one of these details before proceeding.
  • After filling in all the required fields, submit the form.

Step-2: Competency Score

  • In the second step of uploading a JD, at the 'Competency Score' screen, the AI algorithm will analyze the uploaded resume and provide competency scores based on its analysis.
  • The user will have the option to overwrite the AI-generated scores in the same input box if needed, based on the requirements.
  • The user can enter the desired scores for each competency.
  • Once done, click 'Next' to continue.

Step-3: JD Submitted

  • The JD will be created with both the AI-generated and user-entered desired scores for the competencies.
  • Click 'Done' if everything seems correct to complete the process.

Resume Evaluation

  • Log in at https://ras.youngsoft.com/login with your valid credentials.
  • Click on 'Resume Evaluation' in the top menu navigation to access the web form for uploading the resume against the JD.
  • The Resume Evaluation process consists of three steps to evaluate the resume's competencies against the JD's competencies:
    • Step 1: Upload Resume
    • Step 2: Evaluation
    • Step 3: Notes

Step 1: Upload Resume

  • The user needs to input the required information in the 'Upload Resume' web form and upload the resume document in the specified format.
  • Each field in the 'Upload Resume' form has info icons to guide the user in providing the correct information.
  • The resume will be uploaded against the corresponding JD.
  • The AI will analyze the competencies and scores given by the recruiter in the JD and compare them with the competencies found in the uploaded resume.
  • Each competency in the resume will be validated against the competencies provided in the JD.

Step 2: Evaluation

  • The AI algorithm in the YS RAS application will validate the JD requirements against the uploaded resume and provide its metrics and overall match results. The AI will also offer recommendations to the recruiter on whether the resume should be considered, shortlisted, or rejected.
  • The recruiter can then click either 'Shortlisted' or 'Rejected' on the screen to make their decision.

  • The resume evaluation report will be finalized once the user clicks 'Shortlisted' or 'Rejected' on the resume evaluation screen, and the report will be generated.
  • The user can then click 'Next' to proceed to the next screen and enter their notes.

Step 3: Notes

  • The user can add notes on the resume evaluation report to explain why the resume is being selected or provide reasons for its rejection.
  • These notes are important for record-keeping and future reference.
